Sample project for real estate agencies: from scattered listings to one system that works.

A real estate agency runs on listings, requests and follow-up, but they often live in separate systems. In this project they come together: a platform as the foundation, integrations with the portals, and a website that turns visitors into structured requests. Every property is entered once and appears everywhere at the same time, the team works in one environment, and sellers and candidates each get their own view of the file.
A conceptual collaboration: what it could look like.
This project includes:
- A central platform
- Integrations & automation
- A customer-focused website
01
Challenge
Properties are entered separately on portals and website. Requests get lost in inboxes.
02
Solution
One file per property feeds the portals and website. Every request gets an owner.
03
Approach
Map out the full story first, then build in phases that are each immediately usable.
04
Outcome
Enter once and everything stays current everywhere. Every request has an owner.
01 — challenge
Every property is entered five times
Every property is entered separately on the portal sites, the agency’s own website and the internal list. Every price change starts that over again. Valuation requests come in by mail and phone and disappear into inboxes; nobody sees who follows up on what. Certificates and documents sit scattered across folders and mails, and owners call the office themselves to ask how their sale is going.
Where it gets stuck
- You enter the same property in three different places.
- A request from last week is still unanswered.
- Nobody knows who is actually following up that candidate.
- Sellers call to ask how their sale is going.
02 — solution
One property file that feeds everything
One file per property: details, photos, certificates and history in one place. From there the listings flow automatically to the portals and the agency’s own website. Every request, whether a valuation, a viewing or an offer, becomes an item with an owner and a status. Buyer profiles match automatically with new listings, and owners follow their sale through their own portal instead of by phone. The portals and your accounting package (Exact Online, Yuki, Billit, ...) simply get connected. A package like Whise or Omnicasa can keep running or be replaced entirely by the platform; that choice is made based on what the agency actually needs.
03 — approach
Built in phases that work right away
We first map out the full story. Along the way we look at what already exists and what you use today: sometimes connecting is the best choice, sometimes the platform replaces a package that only half fits. I build custom where it genuinely adds value. Then I build in phases that are each immediately usable: first the property file and team workflow, then the portal integrations and automation, finally the website with the valuation module. Your team switches per phase and never has to change everything at once.
04 — outcome
You enter things once
Enter a property once and it stays current everywhere. Meanwhile the website works as a lead machine: valuations, viewings and questions from buyers or owners come in structured, on their own. Every request has an owner, certificates live in the file, and sellers no longer call the office to hear where their sale stands. The agency sees in one overview what is running and who is on it.
05 — afterwards
I stay on board afterwards
After delivery the system keeps running under a maintenance plan: updates, monitoring, backups and a fixed point of contact for questions and small changes. And because everything sits on the same foundation, the agency can keep building step by step whenever it is ready. Think of a portal for tenants, a link with the accounting package, or a second office joining the platform.
