Sample project for installers: from waiting quote requests to one flow from request to certificate.

An installer lives on quote requests, planning and paperwork: inspections, certificates, subsidy files. It often sits scattered across inboxes, Excel and a whiteboard on the wall. In this project it comes together in one system, from the first request to the certificate after inspection. The platform bundles every installation into one file, the integrations connect calendar, accounting and estimating, and the website brings in quote requests in a structured way. Crews see their planning on their phone and customers follow their installation on their own page.
A conceptual collaboration: what it could look like.
This project includes:
- A central platform
- Integrations & automation
- A customer-focused website
01
Challenge
Requests sit waiting in busy weeks and certificates sit scattered across mails.
02
Solution
One file per installation with request, planning, certificates and a customer page.
03
Approach
Map out the full story first, then build in phases that are each immediately usable.
04
Outcome
Every request gets an owner right away and every document is ready at inspection.
01 — challenge
The quote request has sat in the inbox for three weeks
Requests come in by phone, mail and a small web form, and whoever does not answer quickly loses the customer to a competitor. The planning hangs on a whiteboard or lives in one person’s head; crews call in the morning to hear where they need to be. Technical sheets, inspection certificates and subsidy documents sit scattered across mails and folders, and the customer calls to ask when the installation is finally happening.
Where it gets stuck
- The quote request has been waiting for three weeks.
- Crews call in the morning to hear where they need to be.
- Certificates and subsidy documents sit scattered across mails and folders.
- The customer calls to ask when the installation is finally happening.
02 — solution
One file per installation
One file per job: the request, the quote, the planning, the materials, the photos and every certificate together. Crews see their planning on their phone, and the customer follows their installation through their own page instead of by phone. Every document for inspection and subsidy sits ready in the file the moment it is needed. The system connects with what you already use, such as your accounting package (Exact Online, Yuki, Billit, ...), your calendar (Outlook, Google, ...) and your estimating software.
03 — approach
Built in phases that work right away
We first map out the full story: which steps an installation takes from request to inspection, and who does what. Along the way we look at what already exists and what you use today: sometimes connecting is the best choice, sometimes the platform replaces a package that only half fits. I build custom where it genuinely adds value. Then I build in phases that are each immediately usable: first the job file and the planning, then the integrations with calendar and accounting, finally the website with the quote module. Your team switches per phase and never has to change everything at once.
04 — outcome
From request to certificate in one flow
Every request comes in structured and gets an owner right away, and the website meanwhile works as a lead machine for new quote requests. Crews know where to be, the customer sees the status of their installation for themselves, and at inspection every document is ready. Nobody searches for a certificate anymore.
05 — afterwards
I stay on board afterwards
After delivery the system keeps running under a maintenance plan: updates, monitoring, backups and a fixed point of contact for questions and small changes. And because everything sits on the same foundation, the company can keep building step by step whenever it is ready. Think of maintenance contracts joining the system, a stock integration, or an extra crew stepping into the planning.
practical
- Timeline± 6 months
- BudgetComparable to an extra employee for the duration of the project
