AI is only as smart as your files

AI gets pitched to business owners from every direction these days, usually without much explanation of what it would actually do in an ordinary business. I use it daily myself, with agents supporting a large part of my own workflows. From that practice there is something more sensible to say about it than the advertising does.

The useful applications sit close to the daily work: summarising incoming enquiries and filing them in the right dossier, drafting concept texts for a property description or a quotation email, searching documents and extracting the relevant data, or answering questions based on your own files.

All of those applications share the same condition: the model has to be able to reach the data. The value of AI is determined by what it gets to read. A system that brings files, planning and documents together in one place gives it exactly that. Hence the title of this piece. On a platform with modern integrations the connection itself is limited work, and the quality of what is inside determines the rest.

Two caveats belong here. Whoever lets AI loose on messy data gets confidently wrong answers, and those do more damage than no answer. And a chatbot glued onto a website without knowing the operation remains a gadget. Serious use starts with order in your own data, and the deciding remains human work after that: AI prepares, the team decides.

For anyone who already has a custom system or is considering one, AI is simply a next phase on the existing platform. One task that takes too much time today is enough of a start.
