A property manager runs dozens of buildings and hundreds of residents, each with questions, reports and documents. It often lives in overflowing inboxes and folders per building. In this project it comes together in one system, from incident report to general meeting. The platform gives every building its own file with reports, documents and meeting packs, the integrations connect accounting and mail, and the resident portal catches questions before they reach the inbox. That leaves time for the actual management work.

01 challenge

Fifty resident emails before noon

Reports such as a broken lift or a water leak drown among the rest of the mail, and whoever calls loudest gets helped first. Coordinating contractors runs through loose phone calls, documents per building sit scattered across folders and mails, and preparing every general meeting costs evenings.

02 solution

One file per building, one portal per resident

Every report comes in structured, gets a status and a contractor, and residents follow the handling themselves instead of calling. Documents per building (deeds, minutes, contracts) live in one place, and minutes and meeting documents leave from the system. Your accounting package (Exact Online, Yuki, Billit, ...) and your calendar simply get connected; a management package you use today can keep running or be replaced.

03 approach

Built in phases that work right away

We first map out the full story: which steps a report takes from arrival to resolution, and who does what. Along the way we look at what already exists and what you use today: sometimes connecting is the best choice, sometimes the platform replaces a package that only half fits. I build custom where it genuinely adds value. Then I build in phases that are each immediately usable: first the building files and report management, then the integrations with accounting and calendar, finally the website with the resident portal. Your office switches per phase and never has to change everything at once.

04 outcome

Residents who follow along instead of calling

The phone goes quiet: residents report through the portal and see for themselves what happens with their report. Every report has an owner and a status, documents are findable the moment they are needed, and meeting documents roll out of the system instead of out of evening work. The website meanwhile tells new buildings why they should switch.

I stay on board afterwards

After delivery the system keeps running under a maintenance plan: updates, monitoring, backups and a fixed point of contact for questions and small changes. And because everything sits on the same foundation, the office can keep building step by step whenever it is ready. Think of extra buildings joining, a link for meter readings and settlements, or a voting module for meetings.
